About the Role
The Team Leader, Data & Systems plays a key role in managing the systems, data, and scheduling that support major student events, including examinations, graduations, and commencement celebrations. Leading a team, the role ensures the effective planning and onsite delivery of these high-impact events by developing business analytics, improving scheduling processes, and driving best practices across the University. With a focus on continuous improvement, stakeholder collaboration, and service excellence, the position enhances the student experience through effective evolution of exam timetables, graduation ceremony data management and data-driven decision-making. This role closely collaborates with the leadership team in aligning data and systems processes and solutions with operations, logistics and creative event requirements. You will be co-located offsite at event locations during event periods, often leading cross-functional event teams.Your responsibilities will include:

  • Effectively supervise staff to achieve goals and work as part of a successful Graduations & Examinations team and cross-functionally with other teams.
  • Plan and lead the day-to-day and annual cycle of ‘student events’ activities, working collaboratively with the Graduations & Examinations leadership team to understand operational and events requirements and align the management and application of the student data accordingly.
  • Analyse and identify ways in which exams scheduling and ceremony allocations can enhance the student and cohort experience and remove current blockers which impede this. Design and lead the implementation of enhancements to scheduling and allocations processes. Perform consultations with stakeholders, including Chancellery, Faculties and student administration colleagues; facilitate discussion and integrate stakeholder feedback.
  • Contribute to developing cross-functional capability and coordinated effort across the Student Administration team to drive improvements in examinations (including Alternative Exam Arrangements) and ceremony allocations (this includes teams in Onboarding,

Who we are looking for
The ideal candidate is an innovative and adaptable team player with strong change management and process improvement skills. They excel in leading cross-functional collaboration, navigating ambiguity, and managing multiple priorities while leveraging digital technologies to drive continuous improvement and achieve organisation-wide outcomes. The ideal candidate is comfortable working in an event environment, where skills such as the ability to collaborate to quickly consider issues, often under pressure, identify and solve problems, and make decisions are crucial.You will also have:

  • An undergraduate qualification in a relevant discipline and / or equivalent mix of education and relevant experience
  • Proven experience with supervising a team of staff and successfully achieving consistent outcomes, particularly in a time of evolving business needs whilst working to tight deadlines.
  • Expert knowledge of timetabling/scheduling activities or data management activities of equivalent complexity, and using data to model scenarios to inform current and future needs. Knowledge of Power BI and advanced Excel, the software development lifecycle, API use and experience liaising with developers and business analysts are highly desired
  • Expert data literacy, analytical skills and demonstrated experience of sound decision making processes using evidence for action
  • Demonstrated experience working in a large and complex organisation
  • Experience working in an event setting would be an advantage, or equivalent experience working in an operating context of peak periods, deadlines, dealing with pressure and stakeholders.
