- Process invoices, purchase orders, and expense reports.
- Respond to vendor invoicing and queries.
- Create and maintain predictive analysis tools/models for Capex and project management fee revenue.
- Provide reports and insights to internal stakeholders from multiple business lines.
- Collaborate with the Capital Works Portfolio Manager and project managers on monthly reporting and cash flow budgets, including variance analysis, re-forecasting and accruals at FY end.
- An SME in Yardi (Construction Manager), including maintain up-to-date finance and admin tasks, and review, test, and implement new functionality or upgrades to ensure business continuity, user adoption, and operating efficiency.
- Drive process improvements across the capital works function.
Project Management Support
- Assist with day-to-day project support and administration.
- Support project managers with system updates, contract creation, forecasting, and other project updates.
- Handle securities and contracts.
- Assist in onboarding and managing vendors, including document preparation.
- Attend meetings and conferences, providing active input and responsible action.
- Manage and administer the Dexus capital works system, including system checks, project status reviews, reporting, and document uploads.
- Maintain accurate information storage and filing systems, ensuring timely flow of information between stakeholders.
About YouIdeally, you will come from an Administration background and have a passion for the property industry. A key to your success will be your attention to detail, ability to prioritise and sound communication skills. You will bring:
- Relevant experience in project administration, including budgeting and financial management.
- Ability to work harmoniously with internal/ external stakeholders and all business levels.
- Preferred exposure to construction contracts, leases, and similar legal documents.
- Proven ability to identify, develop, and implement process improvements.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Strong computer literacy with preferred experience using Yardi or similar capital works software.
- Ability to work autonomously and within a high-functioning team.
- Ability to manage multiple activities simultaneously to achieve goals.
- Preferred but not essential – Tertiary degree in Real Estate, Land Economics, Engineering, Construction, Management, Business, Property, Project Management, Law, or Town Planning.
